Event Overview

The 6th Annual Richmond Jazz Festival at Maymont will bring back electrifying sounds to the City of Richmond. Located at Maymont, the Richmond Jazz Festival will feature over 30 local, national and international bands and artists on three stages.  Festival attendees will enjoy smooth jazz, while taking advantage of products and services sold by vendors, scheduled wine tastings and chef demonstrations featuring international cuisine. In addition to the two-day jazz festival at the 100-acre Maymont estate, the festival will include pre-festival activities at the historic Hippodrome programmed to highlight local performers.

Vending Dates: August 8th and 9th
Move In Hours: Friday, Noon – 7pm; Saturday, 6am – 9am
Event Hours: Saturday, 11am-10pm and Sunday, 11am-10pm
Load out Begins: 11pm on Saturday and Sunday*

Attendees: Estimated 8,000 - 10,000 attendees**

*Load out time may vary based on the ending of the last performance and guests leaving the park. Vendors will not be able to load out until guests have vacated the premises.

**NUMBER BASED ON PREVIOUS ATTENDANCE NUMBERS AND IS SUBJECT TO CHANGE BASED ON WEATHER CONDITIONS AND/OR OTHER FACTORS UNRELATED TO THE JAZZ FESTIVAL.

Vendor Fees (Includes Saturday and Sunday)

A. For Food Vendors:
$1,540 food vendor fee for Saturday and Sunday
$50 for electricity

Payment:  Checks or Money Orders only.  Checks made payable to the Richmond Jazz Festival.  Payment must be submitted at time of submitting application.

**A copy of your Health Permit and Health Permit Receipt is required with your application.

**If you do not have a Health Permit go to http://www.vdh.state.va.us/LHD/richmondcity/forms.htm#2 to download an application and review submission instructions.

B. Load- In and Setup: Vendors may load in on Friday, August 7th, 12pm-7pm.  Additional load-in times are on Saturday, August 8th, 6am-9am.  All load-in must be completed by 9:00am on Saturday. Vehicles must be off of the property by 9:00am.  A $25 fee will be assessed for vehicles left after 9am.  The Health Inspection is scheduled for 9:00am.  Setup should be complete by 9:00am.

C. Load Out: Vendors may begin loading out after last performance has ended and guests have left the park. Load out may not begin prior to end of last performance.

D. Tent Assignment: Vendors must check-in upon arrival. You will receive your vendor packet at that time. Vendor tent assignments will be determined by RJF management.  Signs will be used to label vendor tents. E. On-Site Packets: Upon your arrival, you will receive a packet that contains the following

  • 1 parking pass and directions
  • Vendor Badges
  • Rules and Regulations
  • Contact Information

F. Parking: One parking decal will be given to each vendor.  You will receive this decal upon your arrival.  Decal parking is available at the Children’s Farm – Additional instructions will be provided at check-in.  All other vehicles will be responsible for securing own parking.

G. Food Vendors ONLY:

  • **A copy of your Health Permit and Health Permit Receipt is required with your application.  Business name must match the vendor application.
  • You must provide an insurance certificate naming the Maymont Foundation, Altria and Johnson, Inc.  with your application
  • Ice will be available for purchase (Price/TBA) onsite from the ice concierge services.
  • Electrical outlets can be provided for $50.  Extension cords are recommended.
  • Set up will begin Saturday morning.  Vendors must be set up no later than 9:00am for health inspection.  Non-essential vehicles should be moved no later than 9:00am.
  • Staff must look presentable at all times, company uniforms preferred for all onsite members
  • All vending space must be kept neat and clean at all times.
  • No large signage or banner will be permitted (outside the tent or in the air)
  • A 15x15 white tent (without side walls) will be provided (only one per vendor)
  • Each vendor will receive up to (5) Vendor Passes  for both festival days
  • (2) 6’ tables will be provided
  • Trash cans will be provided in this area
  • There will be two designated areas for food vendors (Section A, Section B).

H. On-site Rules Reminders:

  • Staff must look presentable at all times, company uniforms preferred for all onsite members
  • You must keep your space neat and absolutely must clean your area upon departure
  • Signage is not permitted outside of the tent. All signs must be placed inside of the tent
  • No personal tents allowed. All vendors must use the tents we provide.
  • Space must be kept neat
  • Must clean space upon departure

All vendors can purchase additional Exhibitor passes for $75 each per day.

  • The Richmond Jazz Festival is a privately owned and operated event.  This application is for the purpose of assisting the Richmond Jazz Festival in the selection of vendors. This application is neither a contract nor a guarantee of the same.
  • The Richmond Jazz Festival reserves the right to accept or reject any and all items and applications at their sole discretion.
  • Only those items listed on this application and approved by the Richmond Jazz Festival may be sold.  The Richmond Jazz Festival reserves the right to remove any displayed non-compliant items.
  • Application Due Date: June 22, 2015. Vendor Selection Notification will be provided no later than July 7, 2015.  Incomplete applications will not be considered.
  • The Richmond Jazz Festival reserves the right to remove vendors from the premises that do not comply with stated rules and regulations without a refund.

Compliance All vendors must comply with rules and regulations set forth by Richmond Jazz Festival Management. If vendor does not comply with rules and regulations, Richmond Jazz Festival Management reserves the right to remove vendor from event without refund.

Inclement Weather

Upon inclement weather conditions, vendors are still expected to operate for the entire duration of the event.

Photography Disclaimer:

Professional photographers employed by the Richmond Jazz Festival will be present taking pictures and footage at the event.  Attendance at the Richmond Jazz Festival constitutes consent to be photographed for use in print and/or electronic publicity for the event.  These images may be used, without further notification, at a later date to market this event through online and print materials or any other marketing related material.

Waiver of Liability:

As a participant in the 2015 Richmond Jazz Festival, I have read and understand the conditions of participation provided on this application. I agree to assume all risks of participation and hereby waive, release and discharge any and all claims for any and all liability, claims, demands, actions or suits against the Richmond Jazz Festival and the respective and appointed officers, agents and employees, which I may have, or which hereafter accrue to me, as a result of my participation in this event. I agree for myself, my heirs, administrators, executors and assigns, that I shall indemnify and hold harmless the Richmond Jazz Festival and their respective elected and appointed officers, officials, agents and employees, from any and all claims, demands, actions or suits arising out of or in connection with my participation in this event. The waiver applies to every individual that will be working in my booth.

For Food Vendors Only: A staff person must oversee grills and/or fryers at all times and will be financially responsible for any damage done to surface areas as a result of grilling and/or frying.

Remove all grease from all Maymont facilities in a sealed container and properly dispose of such grease; food vendors will not deposit grease into any sinks, on the lawns or flower beds or outside of any buildings at Maymont.   Inappropriate disposal of grease on Maymont grounds will result in fines based on associated incurred costs.

Remove all food and food containers from all Maymont facilities and outdoor locations at the conclusion of the event.


NOTE: ONLY ITEMS AND PRICES INDICATED ABOVE ARE SUBMITTED FOR CONSIDERATION TO SELL AT RICHMOND JAZZ FESTIVAL BY

THE FESTIVAL VENDOR COMMITTEE.

ALL MENUS ARE SUBJECT TO THE APPROVAL OF THE RICHMOND JAZZ FESTIVAL COMMITTEE. APROVAL WILL BE PROVIDED BY JULY 7th. ONCE YOUR MENU IS APPROVED NO SUBSTITUTIONS CAN BE MADE.

Step 3: Wait for Notification of Acceptance by July 7th 

Notifications of acceptance will be sent by email on Tuesday, July 7th.  All vendors who submitted an application will receive a response; however, sending an application does not guarantee acceptance

Step 4: Approved vendors join the Richmond Jazz Festival.
